Commercial register
SwissFlow is currently operated as a sole proprietorship registered in Switzerland. As we cross the CHF 100,000 annual revenue threshold or transition to a corporate form, registration in the Swiss Commercial Register (Handelsregister) will follow and this notice will be updated.
VAT identification
SwissFlow is below the mandatory Swiss VAT registration threshold and is therefore not VAT-registered at this time. VAT identification numbers will be added here once we cross the threshold.

General terms of service
1. Scope
These terms govern the use of the SwissFlow service ("Service") provided through the swissflow.org website and any associated platforms operated by SwissFlow. By engaging us for an audit, pilot, or paid subscription, the client ("Client") accepts these terms.
2. Service description
SwissFlow designs, deploys, and maintains document-collection and workflow- automation systems. Implementation is bespoke per Client; the engine typically combines workflow automation (n8n), document storage (Google Workspace, Nextcloud, or customer-owned alternatives), and large-language- model services (Google Gemini for Standard tier, Mistral via Swisscom AI Service or self-hosted Llama for Regulated tier). Specifics for each Client are documented in a written project brief.
3. Pilot & trial period
New Clients receive a 14-day free pilot during which one workflow is deployed on the Client's stack. No payment is due during the pilot. After the pilot the Client may either continue on a paid subscription or terminate without further obligation.
4. Money-back commitment
For all paid subscriptions: if SwissFlow does not deliver the agreed outcome metrics within thirty (30) days of go-live (typically: hours saved per FTE, document-return rate improvement, time-to-first-reminder), the setup fee is refunded in full upon written request to info@swissflow.org.
5. Pricing & invoicing
Pricing is quoted per Client in writing before any work begins. Subscription fees are billed monthly in arrears. Setup fees are billed at kick-off. Invoices are issued in CHF and payable within 14 days. Late payments accrue interest at 5% p.a. per Article 104 of the Swiss Code of Obligations.
6. Data processing
SwissFlow processes Client data exclusively to provide the Service. A separate Data Processing Agreement (Auftragsverarbeitungsvertrag) is entered into with each Client and forms part of the contract. See our Privacy Policy for details on data handling, sub-processors, and the Standard / Regulated hosting tiers.
7. Intellectual property
Workflow designs, configurations, and any custom code created for the Client during deployment are licensed to the Client on a perpetual, non-exclusive basis as part of the subscription. Generic patterns, templates, and SwissFlow's underlying methodology remain SwissFlow's IP.
8. Liability
SwissFlow's liability for direct damages is limited to the total fees paid by the Client in the twelve (12) months preceding the event giving rise to the claim. Liability for indirect damages, lost profits, or consequential loss is excluded to the extent permitted by Swiss law. Liability for intent and gross negligence is not limited.
9. Term & termination
Subscriptions are month-to-month. Either party may terminate at the end of any calendar month with 30 days' written notice. Upon termination, SwissFlow returns all Client data within 14 days and deletes copies from SwissFlow systems within 30 days, retaining only what Swiss law requires for tax and accounting records.
10. Governing law & jurisdiction
These terms are governed by Swiss law. Place of jurisdiction is Zug, Switzerland. The parties shall attempt good-faith resolution before initiating legal proceedings.
11. Changes to these terms
SwissFlow may revise these terms; material changes will be communicated in writing to active Clients with at least 30 days' notice before taking effect. Continued use of the Service after the effective date constitutes acceptance.
Liability for content
We compile the content of this website with care. We cannot however guarantee its accuracy, completeness, or timeliness. Liability for any loss arising from the use of content on this site is excluded to the extent permitted by Swiss law. We reserve the right to modify or remove content at any time without notice.
